Anytime,
anywhere unexpected events can complicate even the best planned trip. We
have every reasonable effort to make your trip as enjoyable and worry free
as possible. But, it must be remembered that our tours take you to out of
the way places to experience different and unique activities.
Cancellations, delays, accidents and other problems can and do arise. Any
of these could effect your schedule, health, property and trip deposits or
payments. While we, acting only as agents, cannot be held responsible, if
problems do arise we do not want to see any of our clients inconvenienced
or penalized. Your upcoming trip is a significant investment which you
should protect.
For these
reasons, WE RECOMMEND THAT TRAVEL INSURANCE BE PURCHASED!
TRAVEL INSURANCE COVERAGES AND
PREMIUMS: Premiums will
be added to our invoices for deposits or itineraries for primary Trip
Cancellation & Interruption, Trip Delay, Baggage Delay, Baggage &
Travel Documents, Medical Expenses, Emergency Medical Transportation and
Accidental Death and Dismemberment through TRAVEL GUARD International,
underwritten by the Insurance Company of North America, . A coverage summary
will be provided for your consideration. These coverages can be rejected by so
designating and the premiums will be deducted from the amount owed. If you
choose to accept the insurances then you need only to pay the premium noted on
the invoice. Other benefits include the services of a 24-7 World Service
Center and a 24-hour Emergency Hotline for medical, legal and travel
assistance anywhere in the world! If you accept this coverage within 24 hours
of your initial trip payment you will also receive a Waiver of Pre-Existing
Medical Conditions Exclusion, Change Your Mind Benefit that reimburses up to
$250 for cancellation for any reason and one full year of Baggage Tracking
Service!
As of January 2007 all U.S. citizens are required to have a valid U.S. passport for entry by air into the United States. Each other country has its own entry/exit requirements. It is your responsibility
to make sure that you have and carry with you the necessary documentation. Also,
each country has its own exit/departure fees. Those stated by us will be
accurate at the time of discussion, but changes in the fees and shifting currency
values might cause these fees to change. Please be mindful that we have no
control over these changes.

TENDER OF A DEPOSIT
BY A PASSENGER OR THEIR AGENT CONSTITUTES ACCEPTANCE OF THE FOLLOWING:
Tropical Travel Representatives/The Mayan Traveler does not own or operate any of the firms (Suppliers) which will provide goods and services for the trips and tours offered herein or for any option that may be available in connection with (including, but not limited to side trips, car rentals, etc.) and acts only as agent for the owners and operators of the various accommodations, facilities, services and transportation, and its responsibility is limited to that of an agent. In the absence of Tropical Travel Representatives’ negligence, Passenger agrees not to hold Tropical Travel Representatives/The
Mayan Traveler liable, and Tropical Travel Representatives/The Mayan Traveler hereby disclaims all liability for the
delay, loss, injury, expense or accident occasioned directly or indirectly by any action or omission, whether negligent or otherwise, of any Supplier or other entity entrusted with the performance of any service or the delivery of any goods in connection with the trips or tours offered herein or any available option. Passenger agrees to seek all remedies directly from the Suppliers.
Passenger further agrees not to hold Tropical Travel Representatives/The Mayan Traveler liable for circumstances beyond its control (force majeure), including, but not limited to, the quality of the services rendered, the cleanliness of accommodations, the inconvenience and expense occasioned by hotel or airline overbooking, any expense caused by the loss or damage of any personal articles or baggage, the late arrivals of airplanes, trains, buses, boats, autos or any schedule change or delay.
All tickets, coupons or vouchers are issued and furnished subject to the terms and conditions under which the means of transportation or other services are offered, provided or supplied by the Suppliers.
Certain services may be interrupted or cancelled due to weather or other conditions out of the control of the hotels, airlines, tour operators (Suppliers) or Tropical Travel Representatives/The Mayan Traveler. No refunds will be granted as a result of these interruptions or cancellations.
Air fares are valid only when tickets are purchased in conjunction with a trip or tour. Trips or tours may be withdrawn at any time or changed or altered for the proper handling of tour packages.
RATES
All rates are in U.S. dollars and are subject to change without notice. Rates are per person, based on double occupancy, unless otherwise specified.
AIRLINE
TICKETS
Air tickets are issued on a special promotion fare. Certain restrictions, including (but not limited to) the fact that lost tickets are non-refundable,
and that they are subject to individual airline restrictions, penalties
and fees apply. Airfares are subject to availability and are subject change without
notice until the tickets have been issued.
Flight numbers and schedules
are subject to change until the date of travel.
RESERVATIONS AND
PAYMENT
A non-refundable deposit of $200
($300)* per person is required within 7 days of booking to secure any
reservation. Final payment is due no later than 45 (60)* days prior to departure. Bookings made 45 or less days prior to departure require payment in full. Bookings or changes within 14 days of departure are subject to a $25 charge to cover long distance calls and other expenses.
CHANGES
A $25 per transaction fee will be charged for any alteration or revision made to a confirmed reservation prior to the issuance of travel documents. Once travel documents and tickets have been issued a $50 per person change fee applies. Changes by Passengers are also subject to any other change or cancellation penalties that may be imposed by suppliers or the airlines.
CANCELLATIONS
AND REFUNDS
All requests must be in writing and sent by U.S.
Mail, otherwise no refunds can be made. Any cancellation refunds will be remitted within 30 days after receipt of the cancellation notice is
received, unless the amount of the refund is contingent upon further
advice from an airline, hotel or other supplier. If the cancellation request is received 45 or more days before departure date, a $40 per person charge will be assessed in addition to any other cancellation fees and other charges which may be assessed by Suppliers. Cancellation requests received less than 45, but more than 30 days prior to departure will be assessed a $75 ($100)* charge per person, plus other assessed charges. A $150 ($200)* per person
charge, plus other assessed charges, will apply to cancellation requests received 30 days to 15 days prior to departure. Cancellation requests made within 14 days of less of departure or “no-shows” will not receive any refund. Notwithstanding any of the foregoing, it should be understood that all airline tickets are subject to individual airline restrictions. Any refund for an airline ticket is subject to prior
reimbursement by the airline to Tropical Travel Representatives/The Mayan Traveler.
All requests for a refund after a trip must be made in writing within 30 days after completion of travel, otherwise no refund will be made. All appropriate receipts and documentation must accompany the refund request. No refund will be made for features the participant opts not to use.
Refunds will be mailed within 30 days of receipt of request unless the amount of the refund is contingent upon further advice from airline, hotel or other supplier.
Once travel commences, unused portions of packages are non-refundable. Once travel begins, any changes made by a participant are the responsibility of the participant and any refund for unused features is subject to prior reimbursement by the Supplier to Tropical Travel Representatives/The Mayan Traveler.
* The higher fees
apply to major holiday periods, i.e. Thanksgiving, Christmas and New
Years, Holy Week, Spring Break, etc., highly customized tours and to
suppliers of unique services.
